How do I create a Company Contact List?

It is possible to personalize navigation menus within Mindmatrix software. If you are unable to navigate to the correct page, contact your platform administrator.

When you create a company smart list, all users in your company will automatically have access to this list in their accounts.


Note: Only administrators have the ability to create company smart lists. If you do not have access to this feature, contact the administrator at your company for more information.


To create a company smart list, click on the “Setup” section on the left sidebar navigation, then click “Company Smart Lists”.

Next, click the “Create” button to start creating the list.


Enter in the “Name”, “Description” and any “Filters” as needed for this list.



If the “Show in Widget” checkbox is selected, then this smart list will show up in every user's the  Dashboard under the “Activity And Company Lists” area.
Click icon “>” on the top right when complete with this section.

Create “Conditions” based on which contacts you want your users to see filtered into this company smart list. Here is more information on creating a smart list if needed.
In this example, we are adding “Hot” and “Interest Level” contacts.
 

The new feature implemented in the "Create Company List" interface allows for filtering based on phone activities associated with contacts at the company level. This enhancement mirrors the functionality available on the contact smart list condition page, providing a consistent user experience and refined data segmentation capabilities. Here are the updated steps, including references to the screenshot provided:

From the 'Create New Filter For Smart List' dropdown, select 'Phone Activities'.
  1. This will allow you to filter companies based on the phone interactions logged against their contacts.
  2. Set Filter Criteria: Choose the specific criteria for the phone activities that you want to filter by.




Apply the filter:

  • Once the criteria are set, apply the filter to the list. You should see the 'Filters Added' section get populated with your chosen criteria, as depicted in the screenshot's 'Conditions' tab.

The next option is "Notification"

Here you can decide whether the “creator” (aka “importer”) of the contacts or the “owner” of the contacts will receive email notifications about them.
You can transfer ownership of a contact or a list to any of your users at any time so they can receive the notifications about those contacts.

 
 
By enabling this radio button, the notification will be only received by the creator of the contacts and not the owner. Even if this list is shared with other users or shared and if we mark them as owner the notification will only go to the creator of the contact.

Note: Each user has to opt-in to receive email or sms notifications in their personal profile as well.

Click “Finish” when your notification settings are selected, and your company smart list will be created.
