How do I prepare my account for an instance migration?

From time to time, clients may upgrade to the Enterprise package level with Mindmatrix. This includes an optional instance migration. This document will breakdown the things you need to know in order to transfer to a new instance successfully.

What does an instance migration include?

User accounts and Organizations

  1. Any currently active user accounts may be migrated. The Mindmatrix services team will import users into the new platform. The data that will be imported includes:

Contacts and Lists

  1. Identified administrative users may have contacts and recipient lists migrated. In select cases, Mindmatrix may be able to recreate smart lists. Before the migration process begins, make sure you complete an inventory of lists to be transferred.

Why doesn't Mindmatrix migrate the contacts and lists of all users?

  1. Users have access to import lists into the new software platform. With CRM integration and other options to personalize data, Mindmatrix leaves this up to users to determine what data they would like to import into the new platform.
  2. Individual smart lists and recipient lists will need to be recreated by individual users - due to the volume and complexity of lists users often setup, Mindmatrix does not recreate smart lists or recipient lists for users.

Dashboards

  1. Your instance will include the same standard dashboards as your standard account. Mindmatrix will recreate the dashboards used by you in your current software account.

Scoring models

  1. Mindmatrix will setup the standard User and Contact scoring model within your new instance of the software. Upon request, you may also ask to have custom scoring rules recreated.

Login and Welcome pages

Mindmatrix will recreate the login and welcome page in your new instance. If you have SSL customization for a login redirect, Mindmatrix will update the instance with this link.

Assets

Mindmatrix will transfer assets loaded by the administrator account. Each asset needs to be imported, recoded and recreated. This is not a mass-transfer process and consumes significant hours. For that reason, Mindmatrix does not migrate assets added by other users.
