Background
From time to time, clients will need to evaluate a standard feature to discover if it applies to their typical business use case. As a part of this process, a key service that our clients look to us for is evaluating their particular business processes in order to apply them to the tools and functionality of Mindmatrix. This document will outline the process of how this works and share what you need to get started.
Roles and responsibilities:
Client | Providing Mindmatrix with as much information as possible to evaluate the best way to apply our suite and technology and services to enable your use case. |
Project Manager (Mindmatrix) | Adjusting the project timeline to reflect both the evaluation period as well as any new scope of work or training that may need to be added onto the project. |
Technical SME (Mindmatrix) | Advise on the best solution within Mindmatrix software, either using standard software or through a custom scope of services. |
Consultant (Mindmatrix) | Train the client on relevant software modules related to the application of their business use case. |
The Process
1. Clients - Create a workflow or documentation
To start with, we need a clear idea of what you are trying to accomplish. This means that we need a description of your current use case and the standard process that you follow today.
NOTE: In order to expedite and streamline the business use case evaluation process, we advise clients to create both documentation describing their needs as well as a workflow that outlines the steps, including ownership of any tasks within their organization.
2. Clients/Mindmatrix Hand off your workflow and documentation
Our team will schedule a meeting with you in order to review your documentation. This ensures that we have a clear understanding of your needs and requirements.
3. Mindmatrix - Evaluation of application (3-5 days)
Our technical SMEs will review your documentation and work within the Mindmatrix application to determine whether or not:
- A solution to apply your business use case can be applied in line with your current agreement, or -
- If any custom development work needs to be completed in order to create a solution.

What should you do if you have any questions or concerns?
Meet with your project manager to share any questions or concerns.
Is it possible for an evaluation period to take longer than the described 3-5 days?
We do our best to turn around results as soon as possible. As with any project, keep in mind upcoming project goals that may delay your request. Your project manager will keep you up-to-date on progress.
What if I need to communicate changes with my use case?
Contact your project manager as soon as possible. Our team will consider all details available to them in order to make a decision.
What is involved with creating a new scope of work, will all current work on my project stop?
No. Our team will still work to enable you within the software as soon as possible using the features available today. If an additional scope of work needs to be created, you will have the opportunity to review and sign off on it. Only when this scope of work is accepted, will additional work be dedicated towards including it into or scheduling it as a separate project.
If additional fees are required, you will be notified before any additional scope is signed off on.
