How do I submit a work order to Mindmatrix to create an asset?

Submitting a Custom Work Order: Below you’ll find our general guidelines and policies for submitting custom work orders to Support using your Concierge Hours.   • Importing or Updating Contact Lists - 1 day

  • Email Campaign - 3 to 5 days

  • Landing Pages - 3 - 5 days

Rush Orders

If you need a custom project within 24 hours or by a specific time, you may submit for a rush order. Rush orders are billed per hour and are an additional cost. You may contact your sales rep in order to submit a rush order. 


Asset Audit Submissions

Email support@mindmatrix.net and CC your Enablement specialist. Use the sections below to view accepted document formats for image and web. 


Assets must be organized in the Asset Audit Overview spreadsheet or a similar sheet with the same standards.


You may submit assets uploaded to Google Drive, Dropbox or another filesharing service.


Document Types We Accept 

  • Common Word editing formats (*.rtf, *.txt, *.doc, *.docx, etc)

  • Web Friendly Images (JPEG, JPG, PNG) or PSD files for designs

  • AI files for PDFs or the PDF file you created

  • Large files in Compressed formats (such as *.zip) or hosted on Dropbox or Google Drive


Submitting Multiple Work Orders


If you need to submit multiple work orders to the Mindmatrix team, please send a separate email to support for each order. Make sure your order is complete with all the necessary details before you send it.


At the top of every submission, always  include:


  • Your Username

  • Company Name

  • Link You Log Into

  • Name of Asset(s)


Preferred Due Dates


Include preferred due dates for all work orders. Marketing services representatives will reply back with when you can expect to receive your finished work order.


Drip Building Work Order

After you plan out the flow and logic of your drip campaign, you can send your work order to the Mindmatrix team at support@mindmatrix.net. The Mindmatrix team will be responsible for assembling and following your guidelines for drip creation. Large groups of documents should be submitted in a compressed file,  *.zip format, dropbox links, google drive link. Submit drip building requirements via a Word Document or PDF file. Please include the following in any drip order request:


  1. Email Work Order - If you do not have any emails in your account you would already like to use, you need to submit a separate work order for the emails in your drip. Follow the steps in the Email Work order section to request emails from our team.

  2. Delays - Submit a word document describing any delays in the drip. We recommend the following format: 

    1. Email Name - The name of the email template already in your account or the name of the email you included in your work order

    2. Delay - Be sure to give the exact days in your delay.

    3. Conditions - This is any contact status or activity that will affect the next step in your campaign.

    4. System Events - (if applicable) This is a to do task or update to the contact record.

  3. Preferred Due Date - Drip creation and testing usually takes around 3 business days depending upon the size of the campaign.  Please include when you need this campaign if it is deadline-dependent. 

After you email support@mindmatrix.net and we review your order, a specialist will meet with you to advise you on any logic or delays.


Email/Newsletter Work Order

Submit email/newsletter work orders to support@mindmatrix.net. Email work orders can be submitted in the following formats: Word Documents (*.doc, *.docx), Images for design heavy emails, or high resolution images that you want included: (*.png, *.jpg, *.PSD), and HTML (*.html, *.htm). If you do not have a design you can also send us links to previously used emails as an example. Large groups of documents should be submitted in compressed file,  *.zip format, dropbox links, google drive link.


Be sure to include the following details with every order:


  1. Subject Line - Include the exact subject line of the email.

  2. Content - Include this in any word document. Make sure you clearly include any hyperlinks that should be used and the name of any article for newsletter emails.

  3. Signature Details - We always include First Name, Last Name, Phone Number, Website, and Email Address. To include additional links or details you should provide a complete description of your signature line.

  4. Preferred Due Date - Email creation takes around 2 business days depending upon the complexity of the content. Please include when you need your work order to be completed.

  5. Name of the Template (optional) - You may have a template already created for use. Please include the name of the template.


After you email support@mindmatrix.net and we review your order, a specialist will meet with you to be sure we have all of the necessary details to create your campaign.

Landing Pages Work Order

Submit landing page work orders to support@mindmatrix.net. Landing page work orders can be submitted in the following formats: Word Documents for content (*.doc, *.docx), Images for designs: (*.png, *.jpg, *.PSD), and HTML (*.html, *.htm). If you do not have a design you can also send us links to landing pages as an example. Large groups of documents should be submitted in compressed file,  *.zip format, dropbox links, google drive link.
