How do I use the email director?

The email director tool will allow you to send emails on behalf of multiple users at once, as long as those users have opted-in to the process. The email director is a permissions-based setting that is only available if an admin has configured it from the role section of the software.

To be eligible to use and participate in email director, the following requirements must be met:

Users who have emails sent on their behalf:
Must opt-in on a company smart list available to them.

Admins sending the email:
The email director tool must be turned on from the permissions section.

Step 1 - Users must opt into the email director by clicking a checkbox on the company smart list.


They can do this by filling out the consent checkbox on any company smart list page (pictured below).
Click on company lists.

Select any lists and then on the list itself, click "Opt-In".


Why must users opt-in on the company list page?
It is extremely important that any users who participate in the email director process have confirmed that it is ok for the email director to use their personal contact information (First Name, Last Name, Email Address) to send messages to contacts within the company list indicated. This process ensures that anyone who has messages sent on their behalf understands they are granting this permission to the email director.

Step 2 - Admins can send the email on behalf of groups of users or organizations that have opted in:

  1. Once the email director permission is enabled, the admin user can navigate to the email sending section.
  2. Click on the email director tab.
  3. Click compose.

  1. Select a template to create and edit your email.
  2. On the send email page, as the email director, you can pick multiple users to send on behalf of.
The users visible to send on behalf of are based on your permissions level. Users must belong to your organization or be assigned to you as a channel manager or sales manager. In addition, only users who have consented for the specific company list selected will ultimately have emails sent on their behalf to those contacts (this is described under step 1).


In the example above, two users are selected. A user is indicated by the (user) text after their name.
You can send on behalf of multiple organizations to authorized company lists.

Here's how users can identify who sent an email on their behalf:

1. Go to Communicate > Send an Email.

2. Hover the mouse over the email name to see who sent the email on your behalf. The email director's name will be displayed.
