How do I set the incentive and reward modules

It is possible to personalize navigation menus within Mindmatrix software. If you are unable to navigate to the correct page, contact your platform administrator.

Feature:

This feature can be enabled to the Company which needs to provide Incentive Programs for Partners with provision to redeem the points earned as Incentives.
This will also help companies to motivate their Partners to perform more and will provide Incentives to better-performing Partners. It will create a kind of competition between Partners and extra rewards for their efforts.

Process: Super Admin and Users who have permission to create User Scoring can have access to the incentives and rewards menus. Start by clicking “Setup” then click to expand “Incentive Management”, then click “Incentive Programs”.


This page will list all the created Incentive Programs. Here there will be the option to find created incentives through search and filter options.
Click “Create” to begin creating a new incentive program.
Manual Incentive Module

Step 2: Assignment – In this step, the module can be assigned to users based on Company, Organizations, Organization Groups, Users and User Groups. A notification email for these Users can be set to inform them that the module is available.

 

The incentive program will only be available to the users whom it is shared with

The availability of the incentive program is restricted to the user groups with whom it has been shared. Enhancements have been made to the user interface on the sharing page for a more intuitive experience. The previous slider mechanism used for designating companies, organizations, organization groups, users, and user groups has been upgraded to a clearer, toggle-based system marked as ‘Assigned’ and ‘Not Assigned’. For added convenience in verifying the distribution of incentive rules, we have also added 'All,' 'Assigned,' and 'Not Assigned' tabs.




Rule Based Module:


Step 1: Info – Create the parameters of the incentive module. The name and number of points assigned for this module must be included. 

 

If the rule-based incentive is configured to give extra points for the same invoice to the User, it can be differentiated from regular incentives by checking the "Is Promotional" checkbox.




Step 2: Program Rules – Click “Create”. In this step, add a set of rules for the module. Just like the scoring model, there will be a main grid displaying the rules configured for the Program.

 



Clicking on “Add (+)”  will populate all the rules that are set for User scoring to the left. Any of the activity based rules can be used as a base for scoring and provide the ‘Name’, ‘Description’, ‘Incentive Point’ for the program with a threshold value.

"What would you like to score on" option pulls only the activity-based rules created in 'Users Scoring' > 'Scoring Rules'.

For this tutorial, we will assign it a score of 10.

 
Threshold limit refers to how many times the user can be awarded the score for completing the action. We can choose the threshold point in the 'Program Rule' option by clicking on the drop-down button.

For demonstration purposes, we will set the threshold limit to “5”. Click save.

Step 3: Assignment – In this step, the module can be assigned to users based on Company, Organizations, Organization Groups, Users and User Groups. A notification email for these Users can be set to inform them that the module is available.
Note: The email notifications get sent to all the previously shared/assigned users as well as new users and will be sent at the time when the incentive program is shared/assigned to the user.


The incentive program will only be available to the users whom it is shared with.


 
 
Once the modules have been created, it is possible to edit the individual modules. In Edit mode, the default page will be “Program Rules”. By selecting the “Views” dropdown, you can modify Info, Data, Assignment, and view the module Report.

In the “Thumbnail” view of the grid, the number of users whom the program is shared is displayed as well as total points earned by these users for the program. 
 Clicking on the counts or selecting “Report” from “Views” will open the report page for the incentive program. 
Note: The total counts and reports will be displayed based on permission of the users and organizations.

 

If the “Stats and Activity” widget is added to the dashboard, it will display the “Incentive Earned” chart for users.

  1. Total Users – This will provide the number of unique users assigned to the incentive program.
  1. Incentive Earned Users – This will provide the number of users who have earned the incentive i.e. satisfied the rule set at least once. This will also display the inline pie percentage of incentive earned users / total users.
  2. Maximum Points – This will display the maximum points which would need to be provided if all the users achieve a complete target. This is total users x maximum threshold points.
  3. Points Earned – This is total Incentive points earned by all the users whom the program is assigned to.
Below, all the users and organizations in the respective tabs who have earned the incentives will be shown. There will be a column for “Points Earned” which will provide the points earned by each user/organization for the program.

 

For all users of the company with “Incentive Program” enabled, on the top navigation pop-up it will display the “Balance Incentive” points (Earned - Redeemed) below the “Engagement”. 



Clicking on the points will open the “Incentives” page for the user.


 

In the “Stats and Activity” widget it will display the “Incentive Earned” as well as “Redeemed” chart for the user for the year.
Total Programs Assigned – This will provide the count of incentive programs assigned to the user.
  1. Points Earned – This will display the total points earned at that moment for the user from all the programs. 
  2. Redeemed Points – This will display the total points redeemed till that moment for the user from all the programs. 
  3. Balance Points – This will be the difference of “Points Earned – Redeemed Points”. There will be a button to “Redeem”. Clicking on this button will direct you to the page configured in the Company Profile.

The “Redeemed Ratio” widget will display a donut chart of Redeemed Points and Balance Points.


The “Incentive Programs” will list all the Programs the User has been assigned with columns of Program ‘Name’ (Description on hover), ‘Start Date’, ‘End Date’ and ‘Incentive Earned’ for the User, default sorted by ‘Incentive Earned’.


Clicking on the record will display the details of the program in modal. The points earned by the user for the program will be displayed below the thumbnail.

 
The complete stats of ‘Total Points Earned’, ‘Redeemed Points’ and ‘Balance Points’ will be displayed. There will be a “Redeem” button. Clicking on the “Redeem” button will redirect to the page which is configured in Company Profile.

 If “Tips for How to Earn Points” is provided then it will be displayed on the right side of the page.


The “Incentive” page can also be accessed from the “Profile” page by clicking on the “Incentive” icon.

 

 There is also a dashboard widget for “Incentives” which displays the assigned Programs with the users and points earned.


 

The widget will display the thumbnail along with the information about the program. The stats will display the percentage of Users who have earned points from the program and the total points earned by these users. Clicking on this will open the program report page in the modal.
 

There is an Incentive Report page in the “Reports” section.


 

The “Stats and Activity” widget chart will display the “Incentive Earned” and “Incentive Redeemed” for the year. 
  1. Incentive Earned Users – This will provide the users from the selected group who have earned incentives at least for one program.
  2. Points Earned – This will provide the total points of incentive earned from all assigned programs for the selected users.
  3. Redeemed Points – This will provide the total Redeemed points of the selected users.
“Redeemed Ratio” widget will display a donut chart of Redeemed Points and Balance Points.

The “Incentive Programs” widget will list all the Programs the sser has been assigned.
 
 If an individual user is selected in the “Users” drop-down of the summary report then the page will look like this.


In the “Stats and Activity” widget it will display the “Incentive Earned” as well as the “Redeemed” chart for the user for the year.
  1. Total Programs Assigned – This will provide the count of Incentive Programs assigned to the user.
  2. Points Earned – This will display the total points earned at that moment for the user from all the programs. 
  3. Redeemed Points – This will display the total points redeemed till that moment for the user from all the programs.
The “Redeemed Ratio” widget will display a donut chart of redeemed points and balance points.
The “Incentive Programs” widget will list all the Programs the User has been assigned.
