How do I set up a Marketing Campaign Playbook?


A note on Playbooks: 


Playbooks enable admins to create training materials and document multi-phase, processes step-by-step. There are three types of playbook available on the Mindmatrix platform:
  1. Sales Playbooks - For creating sales process playbooks for sales and marketing users. This version allows users to add a contact to their playbooks.  As the user completes steps and triggers new to-dos, they can access personalized assets to help them stay in touch with their contacts.
  2. Marketing Campaign Playbooks - For creating internal process playbooks (such as marketing campaigns). As with a 'Sales Playbook’ users can complete actions within the platform, or follow instructions for completing actions outside the platform. Unlike ‘Sales Playbooks’, users cannot add contacts.
  3. Onboarding Playbooks - For creating training and tutorial modules. The main admin can view user stats and completion reports they perform actions on the platform through the playbook. You cannot add contacts to this playbook.
This article will explore how to use the 'Marketing' variant. 


Accessing the template creator:

To create a template, go to the ‘Setup’ tab, then from the ‘Asset Management' section, select ‘Playbook Templates’. In the playbook template gallery, select ‘Marketing’ and then click ‘Create'.

Note: On the Bridge platform, clients can personalize menu navigation to better suit the specific needs of their Users. Things may be under a different part of your navigation bar depending on your settings and customization. Contact your platform administrator, Support Team or Consultant for further assistance if you can’t find the selection noted.


Template Set Up:

Enter the name, description, and filters in the relevant field for the ‘Info’ section, and then click on the 'arrow' icon.


Optional information fields: 
A. Language: Select the default localization language for this template
B. Description: add any relevant explanatory notes and comments
C. Valid From, Valid To, and Expiry Reminder: set an expiration date for your template
D. Select a Campaign: Associate your playbook with a specific Email Drip template
E. Filters and Filter Category: add search filter tags


In the ‘Setting’ section, you can choose a thumbnail for your asset by clicking  “Upload a Thumbnail”.  To open the editor, click “Finish”.


The Playbook Editor: 

Creating your Banner and Header:

At the top of the screen, you can set the Playbook’s header, banner image, and color scheme. You can use the ‘Banner Preview’ button to see how this will look to the end-user. 

Banner/Header sections: 

A. Add Banner Image/Select banner background color
B. Enter playbook banner/header title and text. 
C.  Banner Preview


General Playbook settings: 

Playbook Settings
A. Settings - Select whether to display user progress
B. Save (click checkbox to turn on Autosave).
C. Continue - Save and exit the editor
D. FAQs - Add notes regarding 'Frequently Asked Questions'


Adding actions/steps to your playbook:

To begin adding content to your playbook, click on the “Add Tab” button. 



Select “Step Action” or "Embedded Asset" and then click “Go” 


Tab Types
Step action - gives us the ability to add email templates, print templates, and call scripts.
Embedded Asset - gives us the ability to add web assets, templates, images, and videos in the playbook.


Enter the tab name in the relevant field and then click the checkmark icon.



Playbook Tab options:
A. Rearrange tab order
B. Accept Changes
C. Delete tab


To create a new step, type in the step’s name and description and then click “Add”. 




Step/Action options: 
A. Tab Display - select label and appearance options for tabs within this step
B. And/Or toggle - select whether step completion requires the use of any one asset within a step, or ALL assets within a step.
C. Delete Step/Action
D. Reorder Step/Action within tab.
E. Move Step/Action to new tab.  


Adding images, documents, and external links.

From the ‘Add Asset’ section, you can add the assets that a user might need to complete the task.  



To indicate how long a user should wait between steps, set a time span on the “delay” dropdown.



You can repeat this process as many times as you wish. 

Finishing your template creation:

When you are finished editing your template, click ‘Continue’. 


(If you wish to save your changes before quitting, remember to click “Yes” on the save menu. Whether you click “Yes” or “No”, the program will take you back to the template gallery where you can copy edit, or delete the template you were working on).




A new option to associate Marketing Funds with the Marketing Playbook has been added. To enable this feature, please send an email to support@mindmatrix.net, requesting activation of the feature.

Once enabled, you will see the option to associate marketing funds while creating the marketing playbook. All available funds shared with your account will be visible, but please note that only one fund can be associated at a time.


Steps to Associate Marketing Funds

  1. Accessing the Playbook:

    1. Navigate to the "Playbook" section within the Marketing module of your dashboard.

    2. As shown below, you will find the option to add Marketing Funds (Associated MDF) during the setup process.

    3. Click on the dropdown arrow next to "Marketing Fund" to view the available options.

    4. Choose the relevant fund you wish to associate with thePlaybook.




  1. On the media side, you will be able to view the details of the Marketing Fund associated with the playbook.



  1. Tracking Pending and Completed Actions in the Playbook: In addition to the fund details, you can track pending and completed actions in the playbook.

    1. By clicking the "Overview" button, you will see the current status of all actions linked to the playbook, as illustrated below:

      1. Pending Actions: Displays the tasks that are yet to be completed for the marketing playbook.

      2. Completed Actions: Shows all the tasks that have been completed so far, offering transparency on progress.



  1. Clicking on any action will take you directly to the step where the asset is added.





Final Notes

  1. You can only associate one fund per playbook.
