How to sync contacts from a CRM integration

In order to begin a CRM sync, it needs to be decided which contacts should sync to Mindmatrix from your CRM.

The selection can be based on fields like Company Type or Contacts Type.

For this example, we have decided to sync contacts using the field Company Type and it must contain  Customer or Prospect. Company Type is the filter field.

Contacts with the Company Type of either Customer or Prospect are eligible for the sync to Mindmatrix. Contacts with any other Company Type will automatically be excluded.

In order for contacts to sync, the contact should be marked Active in the CRM and have a valid & unique email address. If these criteria are not met, the contact will not sync into Mindmatrix even if the selected field is correct.

** Duplicate contacts (contacts with the same email address) will not be included in the sync.

 

What happens to the contact if the filter field is changed in your CRM?


Using the example field Company Type, if a contact is updated from a Prospect to a Customer, it will sync to Mindmatrix as we are syncing both the types.

But if the Company Type is changed from Customer to Dead, then it will not update the record in Mindmatrix. This is because the system is not set to sync contacts with Dead in the Company Type.

As long as the company remains in the two selected types, Prospect or Customer, data will continue to update in Mindmatrix. Once the type is changed to a type that is not specified, it will stop updating that record in Mindmatrix.

 

What happens to Inactive contacts in Mindmatrix?

 

To resolve the issue of unwanted contacts remaining in Mindmatrix, we have introduced the functionality to Delete Inactive Contact.

By default, we don't sync any contact marked as Inactive in Autotask/Connectwise CRMs.

Example: A contact was marked Active and synced into Mindmatrix. That contact becomes unresponsive and is no longer needed so it is marked Inactive in the CRM. 

Now those records can be automatically deleted from Mindmatrix if the option Delete Inactive Contact is selected.

 

In order for the above function to work, the contact’s company should remain marked Active and unnecessary contacts should be marked as Inactive.


If a company is marked as Inactive, no update will happen in Mindmatrix. The contacts in that company will remain in Mindmatrix and reflect the last updated information.
