There are many options to create organization smart lists in Mindmatrix. Below outlines the options available for the condition filters within the organization smart list.

·         Organization Record Data:
This condition is used to filter organizations based on organization record data. (Such as what is found in the organization profile.

All of the organization default fields are included in the options within the user record data including:

·         Organization Name

·         Address

·         City

·         State

·         Country

·        and more!

 

·         Organization Additional Data:
This condition is used to filter organizations based on their organization record data in custom fields.

All of the organization custom fields are included in the options within organization additional data. For example, if you've setup SSO or CRM
integration with custom organization fields, they will display here.

 

·         Organization User Engagement Status:
This condition is used to filter organizations based on the user activities performed in the selected timeframes.

This condition is used to filter the organizations which contain the selected user(s) as a channel manager.

 

·         Organization Group:
This condition is used to filter organizations of the selected organization group(s).

 

·         Collateral Activity:
This condition is used to filter organizations based on the asset activities done by their users.

·         Forms:
This condition is used to filter organizations based on the following form activities performed by their users.

o   Any Form Completed

o   Specific Form Completed

o   Specific Form Incomplete

o   Specific Form Filled Count

 

·         Drip Campaigns:
This condition is used to filter organizations based on the following drip activities performed by their users:

o   Any Drip Campaign Completed

o   All Drip Campaigns Completed

o   Specific Drip Campaign Completed

o   Specific Drip Campaign Not Completed

o   Not Subscribed to Any Drip Campaign

o   Subscribed but not in Running Drip

o   Subscribed Drip Campaign Count

 

·         Social Media:
This condition is used to filter organizations based on the following social media activities performed by their users:

o   Facebook

o   Twitter

o   LinkedIn

o   Blogger

o   All

 

·         Certifications: This condition is used to filter organizations based on their users' certification stats.

o   Passed

o   Failed

o   No of Attempts

o   Total Time Taken (in minutes)

o   Highest Score

o   Last Attempted

o   Last Attempt Time Taken (in minutes)

 

·         Opportunities:
This condition is used to filter organizations based upon the selected opportunity type data.

 

·         External Tracking:
This condition is used to filter organizations with respect to activities performed by the user i.e, no. of times a link is clicked, link is not clicked.

·         User Created By:
This condition is used to filter organizations which contain the users created by the selected user.

If the “AdminUser” option is selected, then organizations which contain the users created by the super admins are filtered.

 

·         Playbooks:
This condition is used to filter organizations based on the following playbook types performed by their users:

o   Marketing Playbook

o   Onboarding Playbook

o   Sales Playbook

 

·         Lists:
This condition is used to filter organizations which contain users that are part of the selected list.

o   Subscription Lists

 

·         MDF:
This condition is used to filter organizations based on the following Marketing Development Fund (MDF) related activities performed by their users.

o   MDFFundPlanExpiresOn

o   MDFFundPlanName

o   MDFFundsCreated

o   MDFFundsCreatedOn

o   MDFFundsReimbursed

o   MDFFundsReimbursedOn

·         Incentives: This condition is used to filter organizations based on incentives & rewards activities their users have performed.

·         Learning Management: This condition is used to filter organizations based on learning management (LMS) activities their users have performed.

·         2FA Login: This condition is used to filter organizations based on 2 factor authentication (2FA) login their users have performed.

 

·         User Login Origin: This condition is used to filter organizations based on the origin of their user creation.

o   Unknown

o   Web

o   SSO

o   SAML

o   SFDCSSO

  • Organizations can now be filtered based on the LMS completion status of their users.

  • This helps organizations identify training gaps and ensure partners and employees complete required courses.


Steps to Apply LMS Conditions in Organization Smart Lists:

  1. Navigate to Organization Smart Lists

  2. Click Add Condition and select "LMS Completion Percentage.".

  3. Choose from Any Course, Any Curriculum, or Any SCORM.

  4. Set the completion threshold.

  5. Apply the filters and save the smart list.


This enables better tracking of training progress at the organizational level.


Previously, the Organization List did not have conditions to filter users effectively. Now, new filtering options have been introduced, allowing organizations to be segmented based on user-related data.


New Filtering Conditions in Organization List:

  • Organization User Engagement Status: Filter organizations based on user engagement levels.

  • Organization User Activities: Segment organizations based on user interactions and activities.

  • Organization User Record Data: Filter based on user records within an organization.

  • Organization User Additional Data: Segment organizations based on supplementary user-related information.

  • Organization User Contact Custom Data: Identify users that have been converted from contacts.


These enhancements improve data segmentation, making it easier to organize, track, and analyze users within organizations.

  1. Navigate to Organization Smart Lists in the platform.

  2. Select Create New Smart List or edit an existing one.

  3. Click Add Condition and choose from the new filtering options:

    • Engagement Status

    • User Activities

    • Record Data

    • Additional Data

    • Contact Custom Data

  4. Define the specific criteria for each condition.

  5. Apply the filters and save the smart list.

These filters allow organizations to identify user trends, track engagement, and better segment data for reporting and automation.
