There are many options to create contact smart lists in Mindmatrix. The outline below explains the options available for the condition filters within the contact smart list.


  • Contact Record Data

    • This option is used to filter contacts based on the selected contact record data.


  • Contact Created By

    • This option is used to filter contacts which are created by the selected user. 


  • Subscription List

    • This Option is used to filter contacts that are part of the selected list.


  • Contact Owned By

    • This Option is used to filter the own contacts of selected user. 


  • Contacts Shared with

    • This Option is used to filter the shared contacts of selected user. 


  • Trackable Links

This Option is used to filter contacts with respect to activities performed by the link.

  • Link Not Clicked

  • Link Clicked

  • Link Click Count


  • External Sites

This Option is used to filter contacts with respect to activities performed by the site.

  • All Sites

    • Link Not Clicked

    • Link Clicked

    • Link Click Count

    • Total Time

    • Average Time


  • Collateral Activity

This Option is used to filter contacts based upon the asset activities.

  • Any Form Completed

This Option is used to filter contacts based upon the following drip activities.

  • Any Drip Campaign Completed

  • All Drip Campaigns Completed

  • Specific Drip Campaign Completed

  • Specific Drip Campaign Not Completed

  • Not Subscribed to Any Drip Campaign

  • Subscribed but not in Running Drip

  • Subscribed Drip Campaign Count


  • Database Record Data

    • This Option is used to filter contacts based upon selected Database type

This Option is used to filter contacts based upon the selected opportunity type data

This option is used to filter contacts based on the tsb selection of contact centric playbooks.

This option is used to filter contacts based upon phone activity done by the login user.

Feature Update / Overview to the Contacts Smart List:
A new “Not In” condition has been added to the Contacts Smart List, allowing users to filter contacts based on their tab status in the Sales Playbook. This feature provides better segmentation and control over drip campaigns and scoring.

How It Works:
The new condition introduces two filtering options:
Not In Any Tab – Filters out contacts that are not assigned to any tab or step within the playbook.
Not In The Specific Tab – Excludes contacts that belong to a selected tab or step while retaining all others.

A new "Sync with CRM" condition has been added to the contact smart list, email drip  , and contact scoring. This enhancement allows users to filter, segment, and prioritize contacts based on their CRM synchronization status.

With this condition, users can select:

  • Contacts that are synced with the CRM.

  •  Contacts that are not synced with the CRM.

This update improves contact management, scoring, and email automation targeting.

Steps to Use the CRM Sync Condition in Smart Lists:

  1. Navigate to Contact Smart Lists.

  2. Click Add Condition and select "Sync with CRM.".

  3. Choose Yes (Synced) or No (Not Synced).

  4. Apply filters and save the Smart List.
