How Do I Integrate Google Calendar with Mindmatrix?


Feature:

This feature allows users to integrate Google calendar with Mindmatrix including syncing calendar events and associated contacts. 

Who will be using this?

This feature can be enabled for all users in a company to have the ability to integrate Mindmatrix with their respective Google Calendar accounts.

Benefits:

This gives users the ability to integrate with their respective Google Calendars and events from Google Calendar to Mindmatrix along with associated contacts. The user can view daily events and take actions such as sending relative assets, and creating data rooms based on asset filters.

Process:

If you do not have access to Google Calendar integration, please email support@mindmatrix.net to request access.

Once this is enabled for a company in Mindmatrix, all of the users of the company can activate their respective Google Calendars with Mindmatrix from their profile. 

The user can go to “Configure Add-On” on the bottom left of their user profile.



This will bring the user to the Add-ons management page.

  

The user can select the “Configure” button next to the “Google Calendar” add-on to begin the configuration process.

The user will then be taken to the Google login page. The user must login to the Google account of the Google Calendar they’d like to integrate and give permission for the integration.

The user will see the list of calendars they can sync, and can select 1 or multiple calendars for the integration.

Once the authentication is done, the Google calendar data will sync. 
Existing events with with the following information will appear:
  • Title

  • Description

  • Date & Time

  • Location

  • Contacts

    • Calendar invite guests will be imported into Mindmatrix as contacts. 

    • Note: If a guest’s email address exists as a contact in the user’s account already, then the existing contact will be associated with the calendar event. If the contact does not already exist, a new contact will be created and associated.


  The user can see the Google Calendar by navigating to the event calendar page when it is 

  configured in their user profile.


  


Clicking on this will open the bootstrap calendar for the month with events mentioned in it.



Clicking on each event will open the event detail in modal.




  1. In this section, it will display the details of the event from Google Calendar mentioning the Title, Date-time, Location, guests and description. The guests will be a list of contacts associated with the event. Clicking on the contact will display the respective contact report.


  1. Go to “Views” to see the following options:

Info: The default page with the details of the event.

Opportunities: Opportunities that are associated with contacts included in the calendar invites.

View Assets: This will show the search asset page with assets filtered from opportunities if any associated with the contacts and if any “Google Calendar” filter configuration is configured. The filters can be configured in “Setup > Asset Management > Asset Configuration as the fourth tab added “Google Calendar Filters”. Based on the filters added here it will compare the words with the event title and description and then display the assets which use the matched filters in name, description or filter of the asset.



Add to Drip: The page will display all the running email drips. The user can add a contact associated with the event to any of the drips.

Send Email: The user can select an email template to send to the contacts of the event from this page.

Execute Play: The user can add the contacts to any of the sales playbooks in his account.


  1. The “Configure Data Room” section will be displayed if the user has permissions to the Data Room feature. The user can configure a Data Room with assets for the Google Calendar event.

Once the user clicks on “Configure Data Room” it will populate the list of Data Room templates the user has permission to and the user can select any one from it.

Once configured, a Data Room output with the name “{{Google Calendar title}} of {{Google Calendar date-time}}: {{Dataroom name}}” will be created.



Once complete, the following options will be available.
  1. Remove - Remove the associated data room

  2. Send - Send the data room via email 

  3. View - See a preview of the data room

  4. Link - Copy the data room link


This section will also display the total assets in the data room and allow the user to edit as needed.
