To use the export functionality:

  1. Navigate to: Manage > Database Record

  2. Ensure the database folder contains at least one record.

The Export to Excel button will only be visible if records exist in the folder.

Initiate the Export

  • Click on the Export to Excel button available within the product database folder.

Field Selection

  • The export interface will display all available fields for selection.

  • Options:

    • Select All fields

    • Choose specific fields manually

  • Note:

    • Created On and Updated On fields are always included by default.

Fields such as Image, Document, and HTML are excluded from export.

Naming and Arrangement

  • Provide a file name for the export.

  • Arrange the selected fields in the desired order.

Preset Configuration

  • Save the current field selection and arrangement as a preset for future exports.

  • Enter a preset name (e.g., "Test 2") and click Save Preset.

  • Presets are folder-specific and do not carry over between different folders.

Export Options

  • Choose to receive the export file via email.

  • The export file will be sent to the registered email address of the user.

  • Click Finish to complete the export process.

Export Status and Download

Once the export is initiated:

  • A notification popup will appear and it contains the link to navigate to “Export Status page”.

  • The export job will appear as Processing.

  • After processing, a Download button will be available.

  • Click Download to retrieve the exported Excel file.

Using Presets for Faster Exports

  • Saved presets streamline the export process by pre-selecting fields and their order.

  • When exporting from the same folder again, simply select the desired preset.

  • Only the fields associated with that preset will be included in the export.

  • Presets are unique per folder and not shared across other folders.
