Introduction:
A new enhancement has been implemented to help users easily identify expired and soon-to-expire assets across the platform. This enhancement introduces two new categorized folders:
Expired Assets folder
Expiring Assets folder
These folders are available under various asset types (such as images, documents, videos, templates, playbooks, and elements), allowing streamlined asset management and visibility into expiration timelines.
Key Features
Expired Assets Folder: Displays all assets that have passed their expiration date.
Expiring Assets Folder: Displays all assets that are due to expire in the upcoming days.
Available in:
Image Gallery (Setup)
Non-Personalized Documents
Videos
Templates
Playbooks
LMS
Restricted Assets are excluded from appearing in these folders within the Media view.
Behavior and Functionality
1. Expired Assets
Located within the Image Gallery (Setup) under a designated "Expired Images" folder.
Automatically includes all images (or relevant asset types) with expiration dates on or before today’s date.
Example:
An image with an expiration date of July 5, 2025 will be listed under the Expired folder if accessed on or after that date.
2. Expiring Assets
Located within the Non-Personalized > Documents or Images section under the "Expiring" folder.
Displays assets scheduled to expire in the near future (specific range is based on internal configuration).
Allows users to proactively manage and update expiring content.
Example:
An image with an expiration date in May 2026 will be shown in the Expiring folder until it reaches the actual expiration date.
Dynamic Folder Movement Based on Date Changes
If the expiration date of an asset is modified, the asset dynamically moves between folders:
Changing a future expiration date to a past date moves the asset from Expiring to Expired.
Updating a past expiration date to a future date moves the asset from Expired to Expiring (if not restricted).
Note: Refresh the folder view to see the updates reflected immediately.
Restricted Assets Handling
Restricted assets are not shown in the Media section, including both Expired and Expiring folders.
This ensures that confidential or internal-use-only assets remain hidden from general media views.
Asset Types Supported
The expired/expiring asset folder functionality is implemented across the following asset types:
Images
Documents
Videos
Templates
Playbooks
Elements
Conclusion
This enhancement streamlines the asset lifecycle management process by introducing clear, auto-updating folders for Expired and Expiring assets. It supports proactive asset maintenance, reduces outdated content usage, and enhances visibility across multiple asset categories. For organizations managing large volumes of media or document assets, this feature provides significant operational efficiency and content governance support.
