For users sending emails from Canada, Mindmatrix software comes with multiple features to help you remain compliant.
You can enable double opt-in for landing pages by setting up the process yourself, or emailing
support@mindmatrix.net. Before clients can be emailed marketing emails from Mindmatrix software, they will need to complete a form shared on your website or social media, and then click a link to opt-in from their inbox.
You can then only attach lists to your campaigns that contain double-opt in contacts.
You have the option to record consent on the contact record of contacts or leads in Mindmatrix. You can find this optional field in the contact record and setup or ask that campaigns are only sent to those contacts with this box checked who are also subscribed to receive emails from you.
Please note that you will need to ensure any email campaigns running from your account have settings adjusted so they do not send to contacts unless both the subscribe and opted contact boxes are checked! If this is not done, contacts will still be sent marketing emails. If you have a CRM integration and want to sync this data into Mindmatrix, make sure you adjust smart lists and any email campaigns to only send to those contacts. As a best practice, we even recommend only syncing those types of contacts into Mindmatrix to keep your database clean.
Below are strategies you can use to add opted-in contacts to your account.
Use landing pages to capture new contacts or to update contact consent settings
You can share a landing page on social media, your website, or at an event to gather the consent of contacts for email campaigns.
In-person consent or consent over the phone
You can verify consent with contacts over the phone or in-person before adding them to an email campaign. You just need to be sure that you've recorded this in writing and shared this with the individual. For example, you can send them a personal email to confirm that they agree to receive marketing emails from you.
As a best practice, we always recommend documenting this consent in writing from the individual where they've agreed to receive the marketing emails before adding their contact to your database. If you are unsure, you can send them a link to the double-opt in sign up form which will allow them to automate the process.
Mindmatrix will automatically unsubscribe contacts that click the unsubscribe link in marketing emails. You can also unsubscribe contacts that reach out to you personally and request to be unsubscribed.
