How Do I Create a Account Smart List?

Introduction:

The Account Smart List feature allows users to dynamically segment and manage accounts based on customizable conditions. It mirrors the functionality of the Contact Smart List and is ideal for targeted account workflows, reporting, automation, and sharing across teams.

Steps to Create an Account Smart List

1. Navigate to Smart Lists

  • Go to: Connections > Lists

  • Click on the “Account Smart Lists” tab.

2. Define Basic Details

A setup page will appear where you can:

  • Enter a Smart List Name

  • Add a Description (optional)

  • Proceed to define filter conditions

Filter Condition Types

The filtering engine supports multiple condition categories:

New Smart List Condition in Accounts: Contacts Count

A new condition, Contacts Count, has been added to the Account Smart List. This condition allows you to filter accounts based on the number of contacts associated with each account.

Available Filtering Options:

The Contacts Count condition includes the following operators:

  • Equal to—Displays accounts with exactly the specified number of contacts

  • Greater than—Displays accounts with more than the specified number of contacts

  • Less than—Displays accounts with fewer than the specified number of contacts

  • Between—Displays accounts with a contacts count within a defined range

  • Not between—Displays accounts with a contacts count outside the defined range

Use Cases: This condition is useful for:

  • Identifying large accounts with multiple stakeholders for targeted campaigns

  • Finding accounts with limited contacts for relationship expansion opportunities

  • Segmenting accounts by size for appropriate sales strategies

This enhancement enables precise segmentation of accounts for improved account management, targeting, and reporting.

Sharing Options

After filters are configured, you can define sharing preferences:

  • Share With:

    • Individual Users

    • User Groups

    • Organizations

    • Organization Groups

    • Entire Companies

  • Visibility:

    • Shared lists appear in recipients’ Shared Folder.

    • If unshared, they’re automatically removed from that view.

Notification Preferences

In the Email step:

  • “Myself” – Send notifications to your own email.

  • “Creator” – Notify the user who created the account(s).

These settings are useful for alerting users about updates or automation tied to the Smart List.

Final Step: Save Your Smart List

  • Click Finish to create and activate the Smart List.

  • The list will now appear under the Account Smart Lists section and be ready for use in automations, reports, or email campaigns.

Benefits

  • Targeted Automation: Trigger campaigns or workflows for accounts that meet specific conditions.

  • Segmentation for Reporting: Generate precise reports grouped by account attributes or behavior.

  • Dynamic Updates: Lists auto-refresh when account data changes, maintaining accuracy.

  • Permission-Based Sharing: Share with teams, roles, or individuals without compromising data control.

Summary

Account Smart Lists enable precise, real-time segmentation of account data for operational efficiency and strategic targeting. Whether used for automation, filtering, or team collaboration, they help streamline account-based processes across departments.
